[0:00]: Welcome to Ballot Bites. Today's bite is all about voter support. No matter how smooth your election setup is, voters may still need help. As the admin, you're the main point of contact for voters and the key to keeping your election running smoothly. You can easily answer questions about access, eligibility, or voting links and reassure voters that their ballot is secure and confidential.
[0:28]: Most voter questions are quick to resolve, like not receiving the voting link, trouble accessing the ballot, clarifying voting deadlines, and confirming whether their vote was submitted. With Snap Ballot, you can quickly review the voter status in the voters tab and resend links when needed. For email issues, if the member didn't receive an email from Snap Ballot, you may need to contact the member for a new email address and update it in the voters tab.
[0:56]: You can edit that email. After updating and saving their email, a pop-up window will show the change, and you can resend the invitation email during the voting period here.
[1:08]: Before voting begins, send members a safe sender email. This simple step helps ensure Snap Ballot election emails land in inboxes, not their spam folders. First, you'll want to customize a template with your organization and election details. Copy and paste this information into your email and then send to members about one week before voting opens.
[1:38]: The voter satisfaction survey is a valuable tool to review feedback and help with future elections. This feedback may help address governance issues like uncontested elections or lack of information on candidates or their biographies. It may help get ideas for better promotion of the election or spot any technical issues members may have had.
[2:03]: One more pro tip: communicate early. Let voters know who to contact, how to reach you, and what to expect. Clear guidance upfront means fewer issues on election day. For additional support resources, visit the resources page on snapballot.app.
[2:20]: This concludes our voter support Ballot Bite. With the right setup and communication, you'll be ready to support voters like a pro. Thanks for watching. Grab another bite in our series of quick tips at any time.

Understand your role

You are the main support contact for voters. Common topics you may need to explain include:

  • Access to the ballot
  • Eligibility questions
  • Voting links and email delivery

Resolve the most common issues quickly

Most voter questions can be handled fast. Typical issues include:

  • Not receiving the voting link
  • Trouble accessing the ballot
  • Questions about voting deadlines
  • Confirming whether a vote was submitted

Aim to respond clearly and promptly so voters can complete voting without delay.

  • Use the Voters tab to review each voter's status.
  • If needed, resend the voting link from there. This is the quickest way to help voters who say they never received their ballot email.
  • If the issue is email-related, you may need to update the voter's email address first.

Update a voter's email address when necessary

  1. If a member did not receive an email from SnapBallot, contact them for a new email address.
  2. Update the email in the Voters tab.
  3. After saving the change, a pop-up will confirm the update.
  4. During the voting period, resend the invitation email to the corrected address.

Send a safe sender email before voting opens

Before voting begins, send members a safe sender email. This helps election emails land in inboxes instead of spam folders.

  • Customize a template with your organization and election details.
  • Copy and paste the information into your email.
  • Send it about one week before voting opens.

Use Voter Satisfaction Survey comments to improve future elections

Review feedback from the Voter Satisfaction Survey after the election and use it to improve future ones. Helpful insights may include:

  • Uncontested elections
  • Lack of candidate information or biographies
  • Better ways to promote the election
  • Technical problems voters experienced

Communicate early and set expectations

Let voters know early who to contact for help, how to reach you, and what to expect during the voting process. Clear upfront communication reduces confusion and prevents problems on election day.
